GrooveNotes is built for collectors, by a collector. We love hearing from our users — especially ideas on how to make the app work better for you. Whether it's a feature you'd like to see, a workflow that could be smoother, or just something that would make your collecting experience more enjoyable, we want to know about it.
Drop us a line at [email protected] with your thoughts. Your ideas help shape what GrooveNotes becomes next.
Tap the + button to add an album. You can search Discogs by artist and title, scan a barcode, or enter details manually. Discogs integration automatically fills in release year, tracklist, musicians, credits, and cover art.
Yes. Go to Settings and use the Discogs CSV Import feature. Export your collection from Discogs as a CSV file, then import it into GrooveNotes. The app will match each entry with Discogs and populate full album details.
Each album can have multiple physical copies (vinyl, CD, cassette, etc.) with details like condition grading, purchase price, catalog and matrix numbers, variant info, and storage location. You can also mark copies as pending for items in transit.
Listening sessions let you log each time you play an album. Record the date, format played, occasion, companions, a personal note, rating, and favorite track. You can optionally share your listening note with the GrooveNotes Community.
Go to the Concerts section in the sidebar and tap + to add a concert. Enter the artist, venue, city, date, and your personal notes. AI-powered lookup can automatically fill in band members and setlist details. You can also share your concert notes with the GrooveNotes Community.
The Artists section shows every artist in your collection. Tap an artist to see all their albums in your collection, their full Discogs discography, and any concerts you've attended. It connects your albums and concerts together through the artists you love.
When you write a listening or concert note, you can choose to share it publicly with the GrooveNotes community. Other users who own the same album or went to the same concert will see your note and can comment on it if you've enabled that feature. You have complete control over your notes, with the ability to delete comments and block individual users, no moderator requests needed. You can also see everyone's listening or concert community notes if you just want to keep up with what's happening. Set a community username in Settings to participate. Content is moderated during posting to keep the community welcoming for users aged 13 and older.
Groovy is an AI-powered assistant that can answer questions about your collection, recommend albums, provide music history, and help you explore your listening habits. It requires a Gemini API key, free with a Google account, which you can add in Settings. No personal information is sent to Google Gemini during AI requests.
GrooveNotes’s Shared AI Key uses app-level quota limits per user, initially set at 250,000 input tokens/month.
Estimated usage capability for some common AI calls at the 250,000 input-token baseline:
Estimated “AI Inventory Queries” calls at the same 250,000 input-token baseline:
The above totals are are approximations for those individual query types. Total usage and limiting will be the based on the sum of the different AI queries.
When you use your own key, GrooveNotes shared-key throttles no longer apply. You use your own Google quota directly.
In short: same feature behavior, much higher personal request headroom. (Exact capacity still depends on your own Gemini plan, token usage, and Google limits.)
Your Gemini API key is stored in Apple Keychain on your device. GrooveNotes does not store your key on our servers. AI requests are sent directly from your device to Google Gemini.
Go to Settings to create manual backups or enable daily automatic backups. Backups are stored locally on your device and include all albums, copies, tracks, listening sessions, reviews, artists, concerts, images, and videos. You can restore from any saved backup at any time.
After restoring: The app will guide you through re-enabling iCloud sync on the restored device. Once sync resumes, your other devices will automatically update to match the restored data — a restore on one device is effectively a restore for your whole collection. Wait until your collection looks fully consistent on all devices before making any changes.
Important: Deleting the GrooveNotes app will permanently delete all backup files stored on your device. Before uninstalling, use the Backups Folder… option in Settings → Backup to copy your backups to iCloud Drive or another safe location.
To archive backups using your operating system's backup tools:
For extra safety, use Settings → Backup → Backups Folder… to manually copy individual backups to iCloud Drive so they're accessible from any device even if your iPhone or iPad is lost or replaced.
Yes. GrooveNotes uses iCloud to sync your collection across all your devices signed into the same Apple ID.
Lookup lets you search Discogs or scan a barcode to view full album details, tracklists, and AI-generated information without adding the album to your collection. You can then add to your collection or to your Wish List. Great for browsing at record shops.
Go to Settings → Equipment → My Equipment (or tap the ellipsis menu on any album and choose My Equipment) to record your playback setup. You can enter your turntable, stylus/cartridge, CD player, amplifier, speakers, and subwoofer — all fields are optional. Your equipment information is stored in iCloud and syncs across your devices. Groovy, the AI assistant, can reference your setup when making recommendations.
In My Equipment → Stylus / Cartridge, enable Track Installation Date and enter the date you installed your current stylus. GrooveNotes will calculate total stylus hours by summing the runtime of every vinyl listening session you've logged since that date — including partial plays if you logged specific sides.
If your stylus had prior use before you started logging in GrooveNotes, enter those estimated prior hours and they'll be added to the tracked total. The counter is colour-coded based on your stylus type:
Replacement thresholds are based on stylus type: Standard/Bonded (~1,000 hrs), Elliptical/Nude (~1,500 hrs), Microline/Shibata (~2,000 hrs), Optical/DS Audio (~2,500 hrs). You can also choose Custom and set your own threshold. When you install a new stylus, tap Reset — New Stylus Installed to start the counter fresh.
GrooveNotes uses an annual subscription. You can manage or cancel your subscription at any time through your Apple ID settings on your device under Settings > Apple ID > Subscriptions.
